Decide what really needs approval
Not every post needs the same level of review. Routine evergreen content may follow a standard checklist, while promotions, partnerships, policy statements, or sensitive topics may need a named approver.
Document the rule so creators know when they can schedule directly and when they must wait.
Use one owner and one clear status
- 1. Assign a creator responsible for delivering a complete draft.
- 2. Name the person who has final approval authority for that type of content.
- 3. Move the post through simple states: draft, in review, changes requested, approved, and scheduled.
- 4. Keep feedback with the post so the final version and decision are easy to identify.
- 5. Set a review deadline that leaves time for revisions before publication.
Give reviewers a consistent checklist
Review the audience, accuracy, tone, links, media rights, platform fit, and call to action. For regulated or sensitive industries, add the checks required by the business and its advisors.
Specific feedback is faster to resolve than broad comments. Point to the exact sentence or asset, explain the concern, and identify what would make the post ready.
Measure where the process slows down
If posts regularly miss their dates, note whether the delay happens during drafting, review, revision, or scheduling. Fix the recurring bottleneck instead of adding more meetings.
Zarnaca keeps drafts, approvals, scheduling, and publishing progress in one workspace so small teams can see what is ready and what needs attention.
